Membership & Program Coordinator

SPSSI’s Membership & Program Coordinator position is a mid-level position, expected to participate in many aspects of nonprofit association management of the organization. The role has significant focus on member relations and retention, awards and grants committee facilitation, and volunteer management with some consultative administrative assistance to the Executive Director. Must work independently, solve problems creatively, have strong attention to detail, and take on increasing responsibilities for building efficient systems to address member and program needs for the organization.
Membership & Volunteer Management Portfolio: • Maintain the integrity and reliability of the membership database, ensuring that dues payments and appropriate updates are correctly entered and processed. • Produce detailed membership reports for the elected Council and facilitate the development/execution of new membership initiatives and retention projects in consultation with SPSSI’s Executive Director (ED). • Provide database reports to assist various position holders and staff with ongoing projects. • Manage electronic membership mailings with regard to regular dues billing, and other opportunities of potential interest to members in collaboration with staff and ED. • Assist in facilitating SPSSI elections via conventional and electronic mail. • Respond to membership-related inquiries and provide outreach to prospective and renewing members. • Collaborate with central office staff to grow membership-related website content. • Work with our journal publishers to maintain member mailing and communications lists. • Act as primary staff liaison to all membership-oriented committees as assigned with logistics and/or administration needed for the completion of their projects. • Work closely with elected officers to appoint service positions, and maintain accurate and detailed record of these appointments. • Primary contact for service-oriented queries.

Program Portfolio Duties: • Facilitate the submissions and work of over twenty awards and grant selections; interact with committee chairs, selection committee members, and all applicants via phone, email, and conventional mail. • Track program-related expenditures. • Ensure timely and accurate responses to all queries received via award and grant program account ( • Coordinate with recipients to ensure final reports are received, filed, and made available for promotion or evaluation of programs. • Notify applicants of award eligibility, criteria, decisions, and procedures for releasing funds, and ensure that all criteria for awards have been satisfied. • Update external advertisements and communications as needed. • Troubleshoot all online award-related problems with applicants and review committees. • Advise selection committees based on current procedural and policy related practices and liaise with Council and leadership to determine these practices. • Manage production of award certificates and plaques and assist in the process of funds to be distributed to award recipients. • Contribute to materials, print and otherwise, regarding award/grant outcomes or related news. • Regular updates to website and internal award, grant, and related committee files and historical record. • Report to officials regarding chair and committee performance as needed. • Provide feedback for evaluation of clarity of grants and awards descriptions and for effectiveness of program and committee processes and functions. • Collaborate with central office staff to grow program-related website content.

Additional administrative duties: • Coordinate collection of annual Conflict-of-Interest declarations from all SPSSI position holders. • Staff Council meeting note-taking support, and follow-up. • Co-manage inventory and ordering supplies. • Co-manage vendors to coordinate troubleshooting and equipment repair. • Ensure maintenance of accurate and well organized records to support various office transactions; building of templates and other documents as needed. • Attend staff meetings as required. • Assist as needed with biennial conference material preparation and logistics, including registration and onsite activity support. • Perform other activities as assigned.

Position Expectations/Qualifications: • BA or BS degree with interest in all aspects of association management. • Maturity, good judgment, analytic and problem-solving skills. • Exceptional creativity, organizational skills, attention to detail, and follow-through. • Excellent interpersonal, verbal, and written communication skills. • Ability to work on multiple projects and simultaneously, take initiative, and meet frequent deadlines. • Commitment to social justice and the application of scientific data to social problems. • Expertise in MS Office and web-based applications.

Previous nonprofit professional experience preferred.
